Super Administrators can use this page to help them set up Analytics 365 for their organisation.
Helpful Tips
Tip 1 :
Your Microsoft 365 Groups will define your people, their organizational relationships and time zones in Analytics 365. To get the most out of Analytics 365 it would be worth referring to our checklist for super administrators to ensure that your Microsoft 365 Groups have been set up according to Microsoft guidelines.
Tip 2 : On first login, your data will synchronize with Analytics 365. Depending on the size of the organization and the availability of the Microsoft server, it will typically take 4-8 hours for Microsoft Teams data to synchronize with Analytics 365 after permission has been granted by the Microsoft Administrator.
Super Administrators have full administration access to the Analytics 365 app and can set permissions for all users.
We suggest that the number of Super Administrators should be kept to a minimum: one or two in a small organization and three or four in an enterprise. We recommend Super Administrators have a good working knowledge of Microsoft Administration.
Super Administrators should follow these steps to get your organization started:
How to Get Started
Step 1: Check that your data has been synchronized
If you haven't already done so,
open Analytics 365 in Teams. Go to the settings page and check People and Groups to see if your data has been synchronized. In order for your data to be synchronized, permission needs to be granted to the App by your Microsoft Administrator. Click here for more information on how to
grant app permission.

Step 2: Decide if you will manage permissions by Group or by individual user
Admin access and reporting permissions can either be managed by Group via Group Policy or by individual user. It is recommended that you choose one of these two methods. If your organization manages users in Microsoft 365 using Group Policy it is advisable to do the same in Analytics 365. Step 3: Allocate licenses, set up reporting permissions and admin access for members of your organization
The following user licenses are available:
- Collaboration Analytics which provides reporting access (with appropriate permissions) and generates analytics on meetings, calls, phone calls and messages.
- The free Insights license which provides reporting access (with appropriate permissions) but does not generate analytics on meetings calls, phone calls and messages.
Use the links above to go to pages dedicated to each license which include a table suggesting permissions suitable for different roles in the business.
Reporting Permissions: In order to view dashboards and cards reporting access must be turned on. If reporting access is turned off, users will be able to
explore Analytics 365 in Demo mode.
A users reporting network (the people whose Teams activity is visible in reports) is, by default, determined by the Microsoft 365 hierarchy. However, People, Teams, Groups and Call Queues can be added to suit the needs of people within the business.
It may be useful to work with managers or business leaders (Analytics 365 Administrators) to determine the appropriate reporting access to assign to staff. The video below provides a brief explanation of the licenses and how to allocate permissions. Click for more detailed information on the free Insights license, the Collaboration Analytics license or reporting permissions. Video: Licenses and Reporting Permissions
Admin Access: Administrators manage the permissions for a sub section of the business and therefore should be kept to a minimum. This level of access is suitable for people who have a good working knowledge of their People and Teams. We recommend one Administrator per site or department.
Most people in the organization will have their Admin Access set to None.
It may be useful to work with managers or business leaders (Analytics 365 Administrators) to determine the appropriate
admin access to assign to staff.
Step 4: Set up your own access
Step 5: Set up permissions for your own team (if you are an administrator for your own team)
If you are also an administrator for your own team, you should set up their reporting permissions. Steps 2 and 3 of the administrators guide will help you with this.
